Event Worksheets and Timelines 

Worksheet: An event worksheet is needed for all events so the national office can support the chapter and complete behind-the-scenes work for each event. Blank worksheets can be obtained from the regional engagement coordinator. The complete information collected on these worksheets is critical for the marketing and communications team when posting and promoting the event.

Fundraising Worksheet: This is specifically designed for a banquet-style event but can be modified for other primary fundraising events as needed. Information such as event costs, venue location, merchandise needs, contact information and additional details are needed to ensure correct information is on the event flyer and event webpage. This worksheet also informs the national office of the chapter’s preferred method to distribute event fliers *via email or standard mail. The worksheet should be submitted 12 weeks prior to the event date.  

Shoot Worksheet: This is specifically designed for a shoot but can be modified for other secondary events as needed. The shoot worksheet requires some of the same information as above, including details for promotion and outreach so prizes and/or guns can be selected and shipped. Meet & Greet/Birds  Brew Worksheet: Specifically designed for Birds and Brew but can be modified for other low-key and minimal-need events. It requires less detailed information and can be completed in a shorter time frame, provided you don’t need merchandise or firearms. Please allow a minimum of six weeks to plan. These types of events are email marketing only, no mailings. The worksheet should be submitted 6 weeks prior to the event date.  

* Special note regarding physical mailing, email or both: Email notices are great for all events, as this marketing method is free to send and can reach most members. Be sure to check the spot on the worksheet indicating the event flyer is to be emailed to members.
